What you’ll do
- Perform secretarial and administrative duties such as answering calls, emails, screening requests and inquiries and redirecting to appropriate team members and/or responding directly.
- Type materials such as correspondence, minutes, reports and agendas for meetings.
- Arrange meetings as directed, book meeting rooms. Maintain calendars, record, transcribe and distribute minutes or notes of meetings.
- Receive and process requests for referrals based on Shapedown BC protocols and guidelines. Set up appointments using information from patient’s charts. Coordinate with the staff in the area to schedule and make changes to appointments.
- Contact patients to set up tests at various labs, order tests from appropriate lab and follow up to ensure tests have been done prior to clinic appointment. Coordinate radiology and any hospital testing and other doctor referrals.
- Obtain written, signed consents from parent(s) or guardian(s), authorizing release of information, making sure registration information is complete and correct. Obtain other essential information when required.
- Prepare accurate and well formatted documents using various word processing, spreadsheet and presentation software packages, including creation of tables, spreadsheets, and reports in a timely manner.
- Enter and collect data, gather background materials, collate consultations and histories for patients as required.
- Arranges computer /ID access for current and new staff along with any other departmental access as needed.
- Sets up and maintains departmental filing, scanning, prepares correspondence and related materials. Gathers, compiles, enters data into program specific database as well as hospital database.
- Maintains inventory as required; maintains office supplies according to pre-determined re-order levels; arranges for maintenance and repair of equipment.
- Provides database training and support to clerks at other Shapedown BC sites.
- Prepares and submits expense claims by ensuring invoices are coded to correct cost centre and authorized for payment. Maintains a bring-forward system for all billings/invoices. Submits check requisitions for reimbursements and expenditures for payment.
- Maintains and updates documentation of all program policies, processes and procedures, and provides feedback for overall program improvement as required.
What you bring:
- Grade 12
- Two (2) years recent related experience or an equivalent combination of education, training and experience
You will have the ability to
- Type 45 wpm.
- Demonstrate knowledge of medical terminology.
- Communicate effectively both verbally and in writing
- Deal with others effectively
- Organize workload.
- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
- Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.).

Job Type: Temporary, Part-time (until March 31, 2025; FTE 0.50)
Wage: $27.10 per hour
