Job Summary

The Associate actively participates as a member of the Workplace Culture and Experience and Leadership Development HR teams to support a wide variety of educational, financial, technological, and evaluative events and processes. The Associate provides logistical and administrative support; monitors expenditures and assists the budgeting process; and provides technical and analytical customer/client support on PHSA’s systems and processes. Coordinates/supports leadership development, engagement, and education events. Prepares and processes documents and information. The Associate investigates system issues, conducts analysis, troubleshoots problems, compiles information, and drafts/updates team information, reports, training and reference materials. Provides support to team members on initiatives and projects, and identifies opportunities for process and system improvements. Is a key contributor in improving our systems, processes, and outcomes.

Key Accountabilities

  • Coordinates and provides support with projects, campaigns, events, workshops, seminars and experiences, including scheduling, facilities and equipment, contacting external vendors, compiling costs and determining prices, registration, participant and facilitator requests for information, preparing and distributing agendas and supporting material, and tracking participant information and evaluation feedback.
  • Coordinates and/or supports assigned projects through research, planning, implementation and evaluation.   Assists/supports the implementation and sustainment of various initiatives and projects by researching and analyzing data to meet needs and service standards. Provides input on team goals and objectives and operations of services
  • Assists with financial functions of the portfolio including assisting with budget development; receiving and processing invoices and expenses; tracking financial expenditures against budget; ensures invoices are authorized to predetermined amounts; providing updates and noting areas of variance, and ensures financial transactions are completed accurately and promptly.
  • Collaborates with team members by sharing information, participating in planning and problem solving, and proposing solutions. Identifies inefficiencies and makes recommendations to regionalize activities as appropriate. Actively participates on committees (which may require some out of town travel) and collaborates on projects and initiatives.
  • Updates portfolio information in various systems. Uploads documents to the POD and ensures relevant team content is accurate and up to date. Advises customers/clients on how to obtain additional resources on POD. Completes and submits eForms; processes timekeeping for staff as needed; and liaises with Finance, Payroll and Human Resources as necessary.
  • Produces timely, accurate and well formatted documents using various word processing, spreadsheet and presentation software packages, including creation of tables, spreadsheets, presentations and reports. Enters and collects data, and compiles relevant statistical information and reports. Drafts agendas, gathers background materials, attends and records proceedings, prepares and distributes minutes, and takes follow-up actions. Maintains a bring-forward system.
  • Provides pro-active support and advice, analyzes problems, and resolves customer/client issues related to course development and team systems using strong analytical and judgment skills. Refers unresolved issues to the next level support after investigation.


A level of education, training, and experience equivalent to a Bachelor’s Degree in Human Resources or Business Administration, plus one (1) years’ of recent related experience.

Basic knowledge of standard HR policies, processes and practices. Works both independently and as an effective team member. Able to multi-task, organize and prioritize workload to manage concurrent multiple projects and successfully meet deadlines. Able to work with frequent interruptions in an ambiguous and rapidly-changing environment. Excellent written, verbal, and interpersonal skills; aptitude to listen, ascertain the needs of clients, develop relationships, and respond accordingly in a timely and efficient manner. Exercise good judgment, discretion and initiative to complete work in a timely manner. Demonstrated ability to plan, prioritize, and set achievable objectives. Strong technical aptitude for problem-solving, issue resolution and technical support of management systems. Able to identify opportunities for process and system improvements. Ability to monitor expenditures, variance analysis and reporting and assist with developing a budget. Demonstrated ability to use related equipment including word processing, spreadsheet, database and presentation software at an advanced level.
