The Clinical & Systems Transformation (CST) Project is one of the largest health care projects in British Columbia's history. It is a joint undertaking between the Provincial Health Services Authority, Vancouver Coastal Health, and Providence Health Care to complete a significant transformation of clinical practices and systems. This is an exciting project that will deliver key benefits for our patients, health care providers and health organizations. We are looking for Nurses, Social Workers and Clerical Support to join us for the first phase of implementation at the Forensic Regional Clinics and Programs.
As a CST peer mentor, you will be a spearhead for sharing knowledge and improving patient care across the province! In these roles, you will be trained to support front-line clinicians on the new Cerner clinical information system as well as providing coverage to enable staff to attend training for the new system. You’ll be part of the first group to learn and use the new system and be able to share your knowledge and expertise with your colleagues before implementation across our programs. Some of the peer mentor positions will be located in the Lower Mainland but will support the Regional Clinics across the province, both virtually and in-person.
Please note that the posting location is Kelowna however there is opportunity to discuss other areas within the Interior
Work days: Shifts will be Monday to Friday from 8:30am to 4:30pm.
Days off: Days off will be Saturday, Sunday and Statutory Holidays
This is a temporary full-time position, beginning March 4, 2024, and with an approximate end date of June 28, 2024.
What you’ll do
- Transcribe a variety of medical dictation, including correspondence and reports to Court, Review Board, and all clinical reports, notes, and correspondence according to pre-set format, protocols, and deadlines. Use methods such as typing material from Dictaphone or handwritten notes, and edit output for accuracy. Forward completed documents to designated team members according to departmental procedures and make corrections as requested. Forward completed and signed reports to appropriate Court Registries and other outside agencies. Enter data into the typing log to track completed reports.
- Provide reception services by operating a multi-line reception switchboard, ascertaining the nature of business, responding to inquiries, taking/relaying messages, and redirecting callers to appropriate personnel. Provide basic information regarding the Service mandate, greet and respond to all clients and visitors arriving at the Clinic, and direct and notify the appropriate staff of their presence. Document information on client files, such as when a client requests to change their appointment time or if a community member phones to provide information on a client.
- Process referrals and enter client data into computer systems, databases, and other software programs under the direction of the Supervisor according to established procedures. Use methods such as issuing client identification numbers, ensuring that necessary documentation is provided, and notifying the referral source of any deficiencies. Identify duplicate records, obtain or clarify missing or questionable information, and correct errors and omissions in client demographic data in computer systems.
- Maintain client charts according to established procedures by performing duties such as receiving documentation, creating clinical records using appropriate forms/layout, and ensuring material is labeled with patient information. Check charts for loose papers and monitor documents, including progress notes and medication orders, for completeness, signature, and dates. Return items with outstanding items to appropriate staff member. Thin clinical records, file documents into relevant sections, replace or repair old/damaged charts, and complete the clinical record upon discharge, ensuring all records are assembled. Coordinate and prepare client charts for off-site storage. Initiate retrieval requests and organize the return of records to storage.
- Maintain schedules and perform event and program tracking by logging into and reviewing electronic calendars/schedules. Monitor upcoming deadlines and appointment dates, including court assessments and Review Board, and provide reminders to applicable staff as appropriate.
- Type a variety of non-technical material, such as general correspondence, forms, lists, memorandums, and notes from handwritten drafts or Dictaphone. Use word processing software and distribute material as required.
What you bring
- Grade 12, graduation from an approved program in medical transcription and one (1) years recent, related experience, or an equivalent combination of education, training and experience.
Skills and Knowledge
- Ability to keyboard at 60 wpm
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.
- Awareness of and commitment to learning and understanding the Truth & Reconciliation Commission’s 94 Calls to Action (2015), In Plain Sight Report (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), and other related reports.
- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
- As a strong asset for consideration, we are looking for our successful candidate to have: Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.)

Wage: $27.48 per hour
