What you’ll do

  • Prepare technical and non-technical material such as correspondence, meeting minutes, educational and workshop materials, spreadsheets and presentations from drafts or verbal instruction by methods such as utilizing word-processing, spreadsheet, and presentation software. 
  • Distribute materials as required. Maintain computerized and manual filing systems, class lists, completes forms and standard invitation letters, and maintain a record of inventory of supplies and materials related to staff learning.
  • Assist with the organization of educational events and program registration by assigning online exams and checking for successful completion, preparing registration waitlists, creating sign-in lists, documents and sends confirmation of attendance to workshop participants and distributing workshop materials.
  • Support workshop activities such as room set-up and takedown, distribution of evaluation forms and certificates of completion to participants, and compiles session evaluation results.  Provide reports to leads as requested.  Submits participant rosters to professional organizations to verify in person attendance of workshop.
  • Organize venues and materials for educational and other sessions, including provincial workshops; arrange meetings by performing duties such as selecting appropriate dates, altering schedules when necessary, notifying participants, and booking rooms, equipment; liaises with internal and external service suppliers for catering as required.  Provide support by circulating agendas, taking and preparing minutes and taking follow up action as required.
  • Prepare invoices for Manager approval for payments of instructors and presenters, online exams and textbooks, expenses, and supplies.  Prepare and distribute invoices to external registered participants for payment. Verify and completes purchase requisition orders in accordance with department standards by methods receiving orders from vendors, checking for accuracy, validating information including signature, identifying correct code for item requested, obtaining required authorization, and forwarding documentation as required.
  • Perform routine website administration activities for program team site and external web pages such as, updating, creating and posting content under the direction of the Manager. Assist with the setup and monitoring of townhalls and virtual forums such as Slido, compiling frequently asked questions (FAQ) and supports and monitors related media platforms.   
  • Support activities related to orientations, onboarding, specialty education and ongoing educational activities for staff.  Provide in-person and online support for educators and presenters by performing duties such as booking meeting rooms, arranging equipment for conferences, and admitting participants into virtual platforms. Format new content and makes changes/updates to online learning platforms and other pathway learning materials as directed.

Qualifications

  • Completion of Grade 12.
  • Two (2) years recent related experience, or an equivalent combination of education, training, and experience.

  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
  • Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.).

Job Type: Regular, Full-Time (1.0 FTE)

Wage: $25.86 per hour
