Are you efficient and organized, with strong attention to detail? Help our clinic run effectively, so we can in turn provide the Support our clinic staff so we can in turn provide the best possible

What you’ll do

  • Input client information, maintain registers, assign file numbers, updating manuals, and prepare medical, legal, and other reports, charts, tables, letters, presentation material and newsletters.  Prepare and distribute meeting minutes.  Distribute documents and files as requested.
  • Gather and compile information such as client information statistics. Set up and maintain numeric, alphabetical, and subject filing systems, indexing files, and materials to be filed and conduct file searches.  Reply to routine correspondence.
  • Operate a multi-line switchboard or phone, and direct calls, receive and relay messages, and receive and direct visitors.
  • Answer general inquiries.
  • Receive, sort and distribute incoming and outgoing mail, faxes, internal correspondence, and courier documents.  Sign for receipt of packages and shipments.
  • Assist with client intake by obtaining information, completing documentation, and summarizing information. Schedule and confirm clients, send out appointment reminders, and establish and maintain clinic flow.
  • Receive, record, check, and balance financial transactions including receiving payments and issuing receipts.
  • Place purchase orders, receive supplies, check invoices against orders and goods received, store and distribute supplies.
  • Prepare and package supplies for shipping; contact couriers and prepare waybills.
  • Perform other related duties as assigned.

What you bring

  • Post-secondary graduation from a recognized business or secretarial program supplemented by a course in medical and or scientific terminology or a relevant combination of education and training.
  • Three (3) years administrative experience in a medical / scientific environment.
  • An understanding of department terminology (medical, scientific, research or information technology).
  • Computer literacy with software programs for word-processing, presentation, spreadsheets, databases, browsers and e-mail.
  • Demonstrated problem solving, customer service, sound judgment, organization and strong interpersonal skills.
  • An ability to type at least 50 words per minute.
  • A demonstrated ability to interact with BCCDC staff, university faculty, health officials, contractors and the general public. Effective oral and written English communication skills.
  • A high degree of accuracy, attention to detail and independent error checking.
  • Ability to prioritize projects to meet deadlines.
