Administrative Secretary
Job Summary:
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. Under the general direction of the CIS Project Manager, the Administrative Secretary performs a variety of secretarial and administrative support activities related to the CIS Patient Scheduling Project. Most duties are performed independently; general direction is provided regarding multiple workload demands.
Duties/Accountabilities:
Duties
1.Arranges adhoc and standing meetings as directed, books meeting rooms and circulates notices and agenda.
2.Attends a variety of project/team meetings to record proceedings, prepares minutes/reports and takes follow up action as a result of such meetings.
3.Using a Word Processing package types a variety of project documents such as correspondence, memos, issues reports, budget status, signoff sheets by transcribing from dictation and/or written draft.
4.Sets up and maintains filing system for project materials such as correspondence, project plans, project issues lists.
5.Accesses Excel spreadsheets and Project to input data and print reports.
6.Composes routine correspondence from verbal and written instructions and submits for approval and signature.
7.Coordinates the work flow of assigned area by organizing operating procedures such as ordering supplies.
8.Performs other related duties as assigned.
Qualifications:
Education, Training and Experience
•Grade 12, graduation from a recognized secretarial program, supplemented by three years’ recent, related experience or an equivalent combination of education, training and experience.
Skills and Abilities
•Ability to communicate effectively both verbally and in writing.
•Ability to deal with others effectively.
•Physical ability to carry out duties of the position.
•Ability to organize work.
•Ability to operate related equipment.
•Typing 60 wpm.
