Coordinator, Academic Development
Job Summary:
In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Coordinator is responsible for business processes and reporting requirements that enhance PHSA’s capacity to provide a quality practice education environment for students and on-site faculty from affiliated academic institutions. Works in collaboration with internal and external stakeholders to develop practice education strategies and related business system enhancements, processes and solutions.
Duties/Accountabilities:
• Acts as a central point of contact for internal and external practice education stakeholders and provides direction, expertise and technical support to improve compliance with business requirements and processes. Communicates with stakeholders to clarify relevant policies and processes, identify issues and resolve challenges or problems with practice education management.
• Confirms that appropriate affiliation agreements are in place between PHSA and academic institutions to manage the risks arising from student practice education activities. Leads and organizes a streamlined process for review and approval of education affiliation agreements with academic institutions provincially, across Canada and internationally. Negotiates with academic institutions to increase use of the standard provincial affiliation agreement template. Maintains a database of agreements and analyzes and reports annually on activities including results of periodic audits to assess compliance with the terms of the agreement.
• Creates web resources to improve student, faculty, staff and stakeholder understanding of PHSA practice education policies and processes. Guided by user-based design principles, builds the PHSA orientation website for students and onsite faculty. Consults with Communications Department staff and practice education stakeholders to develop web content, plan the integrated corporate/agency site blueprint, perform testing, evaluate usage, and make necessary adjustments.
• Facilitates and supports PHSA’s optimal use of Health Sciences Placement Network (HSPnet), the standard provincial system and database for practice education management. Works collaboratively with internal and external stakeholders to improve the operating model for HSPnet and expand the system to additional PHSA agencies and programs. Provides guidance and technical support to new HSPnet users to facilitate accurate and complete data collection. Creates queries and analyzes data to support practice education planning and annual reporting on student placement activities.
• Coordinates project activities to improve the practice education environment by: organizing the completion of project tasks and progress reports, administering surveys or interviews to gather student and stakeholder feedback, liaising with health authorities and academic institutions to gather information, organizing stakeholder forums or events, and tracking, analyzing and summarizing financial and evaluative information needed to monitor project budgets and completion.
Qualifications:
A level of education, training, and experience equivalent to a Bachelor’s degree in a related field such as business or health administration, and five (5) years recent related experience, preferably in a health care environment including experience in student practice education. Completion of specific training and skill development in project management and use of HSPnet is an asset.
Demonstrated initiative, independent problem solving and creative solutions implementation capabilities. Excellent interpersonal, oral, and written communication skills within a complex multidisciplinary, multiagency and cross-sector environment. Capacity to represent PHSA and liaise effectively with practice education stakeholders within the province, across Canada and internationally. Demonstrated leadership ability and strength in negotiation and collaboration. Proven organization ability with strong attention to detail. Ability to coordinate and complete projects with good judgment, discretion, and motivation to complete work in a timely manner. Demonstrated ability to work in a complex fast paced corporate environment with minimal supervision and procedural guidelines and to be flexible to meet and adapt to changes in organizational and project priorities. Demonstrated ability to use various web content systems such as Drupal or SharePoint 2013, and word processing, spreadsheet, and database software at an advanced level.
